Please make sure you review the important instructions for submitting translations requests correctly. It’s very important that you follow these instructions to process your project in a safe and timely manner.
What files can I submit?
For Translation you can submit any standard file format, eg. .docx, .xlsx, .ppt, .srt, InDesign, html, etc.
NOT accepted file formats: .jpg, .png etc. These should be uploaded as Reference material.
- By default ALL the text in the submitted file will be submitted for translation. For custom actions, please read below “Selecting a Project Template”
- You can submit multiple files in one project, if they are the SAME file format. Eg. you can submit multiple .docx files in one project; or submit multiple .xlsx files in one project.
- InDesin files: Submit for translation ONLY the .indd file. Submit the other files, .idml, font, links, as a zip file in Reference material, to allow translators to view the file in context.
Reference materials should be uploaded as reference information for the translators. Reference materials includes screenshots, instructions document, list of links, image or other visual reference, marketing brief, etc.
Add comment
Add any additional instructions or information related to the project.
Project Name
A descriptive project name helps track and manage the project. Please follow standard naming conventions as much as possible. In the project name please include:
If this is an urgent project, start the project name with [URGENT]
Name of requesting team
Name of asset to be translated
Date of request: DDMMYYY
Use underscore “_” between words
Eg. Marketing_Sept eNews_22082020 OR [URGENT] Marketing_Sept eNews_22082020
Cost center
Please add the Cost center related to the project, input N/A if unknown. We do NOT use this information for billing purposes. We use it purely for Localization internal budget tracking purposes.
Requester email
Please add the email contact of the requester. If you would like to include a co-worker as backup, please include their contact email.
Selecting a Project Template
When submitting a Translation request you are required to select a Project Template. A Project Template is used to define all the settings of your translation project.
File type: After the Team name, you will often see the file type eg. Excel, Word, InDesign etc. Please select the file name that corresponds to the file you are submitting for translation.
IMPORTANT NOTE: When submitting InDesign files for translation, ONLY submit the file that ends with extension .indd.
Custom actions: You have the ability to enforce some custom actions in the way your file is processed for translation. Here’s an explanation of the options available to you:
Generic Word - Translate red text ONLY: Text in standard red font is TRANSLATABLE
Generic Word - EXCLUDE red text: Text in standard red font is NOT translated
Marketing copy for translation - translate red text: Used for copy submitted by marketing agencies. All text in standard red font should be processed for translation. Red text in angle brackets <> and in square brackets [ ] should be included as a placeholder, i.e. inline tags
Generic Excel: Excel with the following structure: Source content in Source column (A). Target content is populated in Translations column (B). Comments/special instructions for a specific cell in the Comments column (C)
Generic Excel EN>FR - EXCLUDE red text: Text in red font is NOT translated
PowerPoint - translate Speaker notes: All text is translated, INCLUDING speaker notes. NOTE: Text embedded in images will NO.T be translated
PowerPoint - don't translate Speaker notes: Speaker notes are NOT translated. NOTE: Text embedded in images will NO.T be translated
Video script: .srt files for video subtitling
InDesign vendor does graphics: Monolingual (English) InDesign . Vendor produces the French graphics.
InDesign Graphics does graphics: Monolingual (English) InDesign files. Graphics/Sales produces the French graphics.
InDesign Marketing does graphics: Monolingual (English) InDesign files. Marketing produces the French graphics.
Bilingual InDesign vendor does graphics: InDesign files with English + French. Vendor produces the French graphics.
Bilingual InDesign Graphics does graphics: InDesign files with English + French. Graphics/Sales produces the French graphics.
Bilingual InDesign Marketing does graphics: InDesign files with English + French. Marketing produces the French graphics.
pdf to Word: Source pdf file. Translation in Word
pdf to pdf: Source pdf file. Translation in pdf
PulseCX Survey Translations + Revisions: Survey content. Translate text that is missing translations (XTM looks for blank cells). Review all translated survey text, including existing translations in the file.
OVERSATTA: Translate text that is missing translations. XTM looks for blank cells.
Publicera: Translate xliff files from Publicera.
